Contact Forms (Website)

When you submit a message through our “Initiate an Evidence-Based Pilot” form or our general contact form, we collect the personal data you provide, which includes your Name, Local Authority/Organisation, Position, Email Address, Telephone Number, and your message. We use this information solely to respond to your enquiry, provide the requested pilot briefing packs, and facilitate ongoing business communication. We do not use the information submitted through these forms for unsolicited marketing campaigns.

PaveVent™ Mobile Application Data

When authorized personnel use the PaveVent™ Mobile Application, we collect specific operational data necessary for managing our pilot schemes. This includes:

• Account Information: Email addresses used to grant secure login access to the app.

• Location Data: Device GPS coordinates to generate accurate What3Words locations for pilot sites and specific device repairs.

• Media Files: Site photos captured via your device camera to document ‘Before’ conditions, ‘Completed’ installations, and ongoing inspection compliance.

• Operational Logs: Installer/Inspector names, site notes, condition reports, and timestamps associated with field operations.

Cookies (Website)

Data collected via the Mobile Application is securely processed and stored via Google Cloud infrastructure (AppSheet) solely for the purposes of pilot program monitoring, compliance tracking, reporting, and customer service.

How long we retain your data

If you submit an enquiry via our contact forms, the submission and its metadata are retained for as long as necessary to service your request or maintain our ongoing business/pilot relationship. Data submitted via the Mobile Application (including photos, location data, and inspection reports) is retained for the active duration of the respective pilot schemes and the subsequent academic/economic analysis periods, or as governed by specific agreements with participating Local Authorities.

What rights you have over your data

If you have submitted a contact form through this site, or if you hold an authorized account on our Mobile Application, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, operational analysis, or security purposes.
